TERMS & CONDITIONS
These Terms and Conditions (“T&Cs”) govern all bookings made with Travel With Trekking Pals LLC (“Trekking Pals,” “we,” “us,” or “our”).
By booking any Trekking Pals adventure, you acknowledge that you have read, understood, and accepted these Terms and Conditions.
A separate Liability Waiver must be signed before participating in any Trekking Pals trip.
1. What We Do & Agreement to Terms
Trekking Pals organizes curated adventure travel experiences worldwide. Our services may include:
Airport pick-up and drop-off (as outlined in your itinerary)
Guided tours and listed activities
Ground transportation during the trip
Coordination with accommodations, local operators, and guides
International and domestic flights are NOT included unless it’s stated otherwise on your itinerary.
By booking a trip with Trekking Pals, you agree to comply with these Terms and any additional instructions provided by our team or partners.
2. Deposit Policy
All bookings require a non-refundable deposit to secure your spot.
Deposit amounts are listed on each trip’s booking page.
Deposits are not refundable, not transferable, and may not be used as travel credit.
3. Booking, Payments & Pricing
Payment Schedule
Remaining payments beyond the deposit follow the payment plan on your booking page.
Payments beyond the deposit may be eligible for travel credit (see Section 4).
What’s Included
Accommodations (double occupancy)
Guided activities listed in the itinerary
Airport transfers (as specified)
Transportation during the adventure
Some meals, as outlined
What’s Not Included
Travelers are responsible for:
International/domestic flights
Visas, passports, vaccinations, and all entry/exit requirements
Personal expenses
Meals not listed
Tips and gratuities
Optional add-ons
Comprehensive travel insurance
Once your deposit is paid, your trip price is guaranteed and will not increase.
4. Cancellations, Refunds & Travel Credit
If YOU Cancel
Deposits are 100% non-refundable.
Payments beyond the deposit may be converted into Trekking Pals travel credit, valid for 2 years from the original trip start date.
Travel credit may be used on any future Trekking Pals adventure.
No cash refunds will be issued.
If Trekking Pals Cancels or Modifies the Trip
Trekking Pals reserves the right to modify or cancel a trip due to:
Safety concerns
Weather
Political conditions
Low enrollment
Operational challenges
If a full cancellation is required, travelers will receive a cash refund.
5. Minimum Group Size
Each trip requires a minimum number of participants to operate.
If the minimum is not reached:
Trekking Pals may cancel.
Travelers will receive a full refund for all paid amounts, including the deposit.
6. Assumption of Risk, Responsibility & Insurance
Adventure travel involves inherent risks, including but not limited to:
Altitude
Weather
Terrain
Transportation delays
Illness or injury
Government closures
Wildlife encounters
Unpredictable environmental conditions
By booking, you acknowledge and accept these risks.
Trekking Pals is NOT responsible for:
Missed flights or delays
Lost, damaged, or stolen belongings
Medical expenses
Passport/visa issues or denial of entry
Travel disruptions caused by weather, airlines, political events, or government restrictions
Additional costs caused by traveler error
Travel Insurance
Travel insurance is strongly encouraged and may be required for certain trips.
Coverage should include:
Trip cancellation
Medical and emergency evacuation
Baggage protection
Travel delay coverage
Rescue when applicable
7. Health, Fitness & Medical Requirements
By booking, you confirm:
You have reviewed the physical requirements of the trip
You are medically and physically fit to participate
You have disclosed relevant medical conditions
You will bring necessary medications
You accept full responsibility for managing your personal health
Trekking Pals is not liable for medical incidents resulting from pre-existing or undisclosed conditions.
8. Independent Contractors
Trekking Pals works with trusted third-party suppliers, including local guides, transportation companies, hotels, and activity providers.
These partners are independent contractors, not employees or agents of Trekking Pals.
Trekking Pals is not responsible for acts, errors, omissions, or negligence of any independent contractor.
9. Force Majeure
Trekking Pals is not liable for trip disruptions, delays, cancellations, or modifications caused by events beyond our control, including but not limited to:
Natural disasters
Pandemics or public health emergencies
War, terrorism, or political unrest
Government closures or mandates
Strikes or labor disputes
Extreme weather conditions
Acts of God
10. Traveler Conduct
Travelers must maintain respectful behavior toward fellow participants, local communities, and guides.
Trekking Pals may remove any traveler who jeopardizes group safety or disrupts the experience. No refunds will be provided in these circumstances.
11. Privacy & Sharing of Information
To operate your adventure, Trekking Pals may collect personal information such as passport details, birthdates, emergency contacts, and health notes.
This information may be shared ONLY when necessary with:
Government authorities (for permits and entries)
Accommodations
Local partners and guides
Trekking Pals does not sell personal information.
12. Photography & Media Release
By participating in a Trekking Pals adventure, you grant Trekking Pals permission to use trip photos and videos (including your image) for marketing and promotional purposes.
If you prefer not to be photographed, you must notify us in writing before the trip begins.
13. Jurisdiction & Governing Law
These Terms and Conditions are governed by the laws of the State of Wyoming, without regard to conflict-of-law principles.
Any disputes must be resolved in a court of competent jurisdiction within Wyoming.
14. Acceptance of Terms
This document is not signed, but by booking and participating in a Trekking Pals adventure, you automatically agree to all terms listed here.
A separate Liability Waiver will be sent to you and must be completed before departure.
